The Royal Victorian Eye and Ear Hospital is a world class specialist hospital in eye and ear care providing services across Victoria. As Australia’s only specialist eye, ear, nose and throat hospital, the Eye and Ear has been providing care for the senses for over 160 years. The Eye and Ear has almost 90 different outpatient clinics for the diagnosis, monitoring and treatment of vision and hearing loss and provides a 24 hour emergency eye and ear, nose, and throat service. The Eye and Ear provides care annually for around 190,000 patients, with over 130,000 outpatients, nearly 44,000 emergency patients and over 14,000 inpatients. The hospital recently completed a major redevelopment to create a modern internal structure and to improve access for patients, visitors and staff.

 

Role:

 

We are seeking a highly organised and detail -oriented Coordinator of P&C Operations. This is a full-time role and is responsible for coordinating the ongoing administration and day to day functionality of People and Culture HRIS systems and processes.  As a key member of a busy team, we are looking for someone who has a high degree of initiative, can think independently and has excellent customer service skills.  On a regular basis you will:  

 

  • Be the first point of contact for general People and Culture queries, support and process inquiries, escalating complex matters as needed 

  • Assist and advise Managers on employment cycle functions including recruitment, onboarding and changes to employment conditions, as well as the termination process. 

  • Coordinate onboarding, terminations, contracts and variations and core end to end processes ensuring compliance with all enterprise agreements’, legislation and the hospital’s policies and procedures. 

  • Prepare new starter information and documents for our payroll team.  Liaise with new starters to ensure their onboarding experience is seamless.  

  • Maintain employee records and liaise with Payroll to update any masterfile changes to ensure accuracy between both our payroll masterfile (SAP) and our HRIS system Success Factors (People Hub) 

  • Provide day-to-day operational and system administrative support to ensure the connection between SAP and People Hub is timely and accurate, with a focus on customer service and continuous improvement.  

  • Maintain and update employee records and people and culture databases to ensure accuracy and compliance. 

  • Maintain People and Culture spreadsheets and assist with preparing reports for key stakeholders in the organisation. 

  • Work closely with the Manager of P&C Operations to facilitate outsourced payroll activities, address system issues and work to improve the efficiency of HRIS systems and administration. 

  • Provide general admin assistance to the people and culture team
